Meeting Minutes
September 12, 2017

Opening
The regular meeting of the Tomball Stage HANDS was called to order on September 12,
2017 at 7:15 PM in the THS Black Box by Laurie Strutz.
Present
Clint Cottom, Laurie Strutz, Laura Mahoney, Gary Ames, Tiffany Carson, Kim Hatfield,
Jami Blazek, Patricia Porter, Marge Ames, Mable Owens, Paul Larsen, Brenda Lewey,
and Susan Lee. Attendees will receive a free ticket to the first production. If you need
the coupon code to get ticket online, please contact Kim Hatfield.

Tomball Stage HANDS Memberships needed - it is very important that all parents,
guardians and supporters of Tomball Stage and students in any of the Theatre Department
classes become members of Tomball Stage HANDS (the booster organization for the
Theatre Department). As a member of Stage Hands, you will help support activities for
ALL of the students in the Theatre Department even if they are not in a production.
Membership also offers you the ability to stay informed of Theatre Department news and
events through our communication system. Events such as the Summer Social, Winter
Social, Dinner Theatre, Theatre Banquet, and scholarships are a few of the activities
coordinated by Stage HANDS. While volunteering is not mandatory, members are able to
assist the theatre department with MANY needs. We need your help to make this
organization a success. Membership forms can be found at www.tomballstage.org under
the Stage Hands tab. These can be completed and sent to school with your student and
turned into their teacher. We will also have a table at Open House next week. We look
forward to meeting you.
Sponsorships Needed - multiple levels of sponsorships available and NEEDED. Forms
are available to print on line and can also be completed on line with a credit card at
www.tomballstage.org. Please share with family, friends, doctors, dentists, etc. The
productions rely on sponsorships.

Committee Creation
Laurie Strutz stated that responsibilities need to be divided among more people, too much
for just a few to handle. Creating committees. Need committee heads for some and
volunteers to assist with all. Please contact Kim Hatfield to sign up to assist with a
committee.
• Booster Club Relations - Kim Hatfield - will make calls to parents of students to boost
membership and sponsorship opportunities, will track membership, and will distribute
yard signs and decals that go with some membership levels. Will compile information for
a monthly newsletter to be distributed by Mr. Cottom. Volunteers to assist needed.
•Public Relations & City Wide Monetary Donations - Marge Ames - will coordinate and
organize efforts to solicit sponsorships, monetary donations, other donations as needed,
and schedule Spirit Nights. Paul Larsen will assist and will target alumni for
sponsorships and donations. Patricia Porter will also assist with and will be responsible
for scheduling the Spirit Nights. NEED VOLUNTEER to call major sponsors/donors
such as Texans, Astros, Rockets, Top Golf, Ballet, etc. Kim Hatfield will try a contact
for the Astros. Efforts were started over the summer with a Blitz by numerous students.
Laurie Strutz will provide a list of businesses and individuals that were contacted during
the blitz for follow up. Additional volunteers needed.
•Meal Organizer - Tiffany Carson - will identify and organize volunteers for providing
student meals to the cast and crew during all day rehearsals, prior to productions, and as
needed during other events. Will coordinate menu, meal count, meal order, pick up and
delivery of food. Will use Sign Up Genius for volunteer sign up. Will follow up to
confirm. Volunteers needed.
•Shout-Outs/Cookie Sales - Brenda Lewey - will organize and coordinate all shout out
efforts and cookie sales. Mable Owens will assist. Volunteers needed.
•Raffles - NEED COMMITTEE HEAD - Need two raffles for November production.
Will organize and coordinate all efforts of two raffles. Goal is to have in place and have
ability to pass out tickets at October meeting. Paul Larsen agreed to start working on one
raffle.
•Concession/Ticket Sales - Susan Lee - will organize volunteers for all shows via Sign
Up Genius. Will confirm, follow up and provide board with list of volunteers. Jami
Blazek and Susan Lee will assist. Van Phillips will you assist? Volunteers needed.
•Silent Auction - NEED COMMITTEE HEAD - will organize and coordinate all
aspects of Silent Auction including collecting items, organizing items (items will be
stored at Laurie Strutz home), organize volunteers for collections and auction itself,

auction check out and provide final numbers to board. All auction items need to be
received by October 25, 2017. Volunteers and items needed.
•Fundraiser - NEED COMMITTEE HEAD for one fundraiser. Will research options
and submit at booster club meeting for a vote. Will organize and coordinate all efforts
involved in the fundraiser including dates, volunteers, etc.

•The Musical Comedy Murders of 1940 - September 21, 22, 23, & 25 at 7:00pm.

•The Lion, the Witch, & the Wardrobe - November 9, 11, & 13 at 7:00pm and
November 11 at 3:00pm.
Additional Notes
 Kendra Scott - Kendra Gives Back - February 3, 2018 from 11am-1pm at Market
Street in The Woodlands. 20% of the TOTAL sales during that time period will
be given to Tomball Stage as long as at least 10 sales are from Tomball HS.

flashlights, disposable pie pans, thread, twine, needles, fishing line, starch, white
socks, plastic tubs, black socks, nude pantyhose (all sizes), Kleenex, pencils,
markers, batteries (AA - need 80 per show), nails, paint, buckets, screws, bolts,
painting supplies, heavy hand towels, make-up remover, pump soap, suits and
dresses, overalls, old work boots, paper plates, work gloves, Clorox wipes, plastic
silverware, zip lock bags, bottled water, art supplies, buttons, sewing notions. If
you can contribute, please send to school with your student and they can turn in to
their teacher.

Booster Club Relations - Kim Hatfield - Waiting on list of all theater students' parent
names, phone numbers, emails. Committee will contact each by phone and request
membership and offer volunteer opportunities. Booster Club Members will receive a
Friday email with an update on all activities.

Public Relations - Marge Ames - Sponsorships Needed - multiple levels of sponsorships
available and NEEDED. Forms are available to print on line and can also be completed
on line with a credit card at www.tomballstage.org. Please share with family, friends,
doctors, dentists, etc. The productions rely on sponsorships. If you need more

Marge was unable to attend meeting, but has been very busy making contact with local
businesses soliciting sponsorships and donations.
Meal Organizer - Tiffany Carson - Responsible for ordering food, scheduling
volunteers for pick up, serving, and clean up of food.

Shout-Outs/Cookie Sales - Brenda - Responsible for all aspects of selling shout outs at
shows: cards, cookies, volunteers. Responsible for all aspects of selling at lunch after
receiving dates from Mr. Cottom: cards, cookies, volunteers.
Cookies are donated. 1st show made $500. Need Credit Card ability. Cookies will be
sold @ lunch with ticket sales. Mr. Cottom will add to announcements for ticket sales.
Ticket Sales - Laurie Strutz - Organizes volunteers to aid in handing out Will Call
tickets prior to shows
Raffles - Paul Larson - Working to have two raffles. One @ Talent Show and one @
Dinner Theater.
Concessions - Susan Lee - Responsible for all aspects of concession stand: stocking, set
up, volunteer schedule, selling prior too all shows, selling during intermission at all
shows.
Silent Auction - NEED COORDINATOR - Inventory donations, organize auction
items, staff auction booth, create bid sheets, check out, provide final #'s to board.
Need to know if we can get approval to have Character Events as Part of Silent Auction?
Jr High and Elementary Publicity - NEED COORDINATOR - Ensure all feeder
schools receive production flyers. Get approval for Character visits to elementary
schools.
Yankee Candle Fundraiser - Laura Mahoney - Online February - June 2018. We
receive 40%.

Spirit Nights - Trisha Porter - Responsible for setting up one Spirit Night per month,
publicity/flyers, and arranging for characters at locations.
